Digital Citizenship Plan and Computer Refresh Cycle Requirement

The computer desktop refresh cycle for schools replaces computers in labs as well as classroom teacher stations. This four year cycle has been in place since the 2010-2011 school year.

A requirement for schools to continue receiving these computer refreshes is that Digital Citizenship and Safety needs to be planned for and included in their school in any of the following ways:

  • Inclusion in school school culture strategies
  • Inclusion in school Framework for Enhancing Student Learning
  • Direct instruction by administrators/teachers to all classes or the school via assembly
  • Presentations written and performed by older students with younger students
  • Speakers / Presentations (RCMP for example)
  • Other strategies that provide digital citizenship/safety lessons to all students (please discuss with Principal of Technology)

The strategies must be publicly documented on the school’s website in one or more fashion

  • In the yearly FESL that is published on the website
  • A blog post that is prominently linked in a menu or otherwise
  • A page that is prominently linked in a menu or otherwise

Purchasing of Devices and Digital Citizenship and Safety Planning Requirement

For purchases of devices that students will be using there must be a plan in place for explicit teaching of Digital Citizenship and Safety before deployment of the devices. (iPads/Chromebooks/etc)

The Technology Administrator will discuss with the site Administrator prior to purchasing to verify that a plan is in place or will be in place prior to deployment.

Planned Future Changes

Starting in 2015-2016 year and beyond a plan will need to be in place prior to refreshing of computer labs as per the District replacement cycle. Schools that will be getting a refresh of their lab in the summer or fall of 2015 will be required to have a plan in place that is posted on their school website on a permanent page.

Technology Services will no longer support the addition of new printers to the school district unless they have a specific educational purpose (ie adding a drafting class and needing a plotter, a new fine arts class needs a color printer etc)

This does not apply to replacement of current printers however but does apply to an expansion of the number of printers already in schools.

Replacement of current printers should consider the cost and volume of use for the printer to be replaced to determine if the printer should be decommissioned or be replaced with a different volume capacity.

3D printers are not included in this moratorium.

Technology Services will only purchase, install and maintained printers that are

  • Laser
  • Brand: HP
  • Duplex
  • Networked and Shared
  • Connected via windows print server
  • Multifunction where appropriate

Exceptions can be made for special purpose printers (colour, or secretary cheque printers, plotters etc)

If a school wishes to purchase a replacement printer that technology services will support, they work order technology services via helpdesk.prn.bc.ca

Rationale

Provincial carbon reporting, and cost reporting from other school districts have identified need for strategy to reduce printers, printing and paper consumption. Shared printers and multifunction devices reduce physical device duplication costs as well as power consumption etc. This hardware strategy will be eventually coupled with a printer use & education strategy.

Ordering – Requirement

Schools wishing to order through technology services must do so via work order (helpdesk.prn.bc.ca). Please include what you are looking to order as well as the account code to charge.

If the order is for a computer we will normally purchase Dell or Apple computers for schools.

If the order is for a printer please follow our printer purchase requirement

After we have received the work order we will get a quote and send it to you to be approved. *Do not reply by email to the automated emails from helpdesk system*

It can be approved via email directly to who is ordering or by commenting on the work order. We will then order, configure if necessary, and deliver the item(s).

Update Notes

Please note that we have dropped approval via phone as we have had past cases where the approval has been disputed afterwards. We will only accept written approval.

Purpose

Financial, and Practical. Purchases need to be approved by appropriate personnel. Tie ins to a variety of management systems requires that purchasing be done via specific personnel and companies that Technology Services works with.

Scope

If it requires an IP address and Technology Services staff will be required to install or service the items, it should be purchased through technology services.
